Checklist templates¶
Tasks → Manage templates is where checklists are defined. A template describes which tasks are to be carried out, by whom, and in what order. Every run is created from a template.
Create a template¶
- Choose Create checklist template.
- Give the template a name and a number.
- Add the tasks.
Where you have a similar template already, you can duplicate tasks from template rather than creating them from scratch.
Setting up a task¶
For each task you specify:
| Field | What it does |
|---|---|
| Description | What the task is about. Either fixed, or filled in by the user at the time. |
| Assigned user | Who the task falls to. |
| Order | The task's place in the list. |
| Dependency | Another task that has to be finished first. |
| Task type | Standard, Reconciliation or Posting. |
| Task steps | The steps the user works through. |
Reconciliation tasks¶
Also set up:
- Account type — bank, customer, vendor or G/L account — and the account itself.
- Reconciliation method — Balance or Period.
- Currency — LCY or the account's currency.
- Tolerance — the permitted deviation, given either as an amount (LCY) or as a percentage.
The tolerance is what decides whether the user can submit the task with a deviation.
Posting tasks¶
Choose the posting type: Accrual with reversal or Accrual without reversal. The entries are generated as a preview during the run and are only posted once the checklist has been finally approved.
Approval flow¶
The template sets up who approves the runs it generates — approval groups or named users. That then applies to every run from the template.
Deleting¶
Deleting a template does not affect runs already created from it. They continue unchanged.
